Abstract

Artificial Intelligence (AI) is transforming workforce management (WFM) by enabling organizations to shift from inflexible, rule-based systems to more agile and data-driven decisions. In traditional WFM, demand forecasting and staff scheduling are often decoupled, making it difficult to handle real-world uncertainty. This often leads to staff shortages or too much staff, higher costs and unhappy employees.

This study proposes an AI-based system that combines demand forecasting and staff scheduling in a single system. It incorporates uncertainty in staffing requirements and utilizes machine learning, predictive analytics, and optimization to create flexible work schedules. These schedules are intended to enhance efficiency and address employee preferences. The system demonstrated clear benefits in a large retail contact center: 12% lower labor costs, 9% improved service quality, and more equitable scheduling. The solution not only enhances efficiency, but also improves employee engagement, reduces bias, secures data privacy and allows collaboration between humans and AI with a “human-in-the-loop” design. Overall, the study shows that AI can enhance operations and enhance the experience of workers.” It also highlights the need for transparency, accountability and further research regarding the cultural and ethical impacts of the use of AI. This makes AI-enabled workforce management a powerful tool for long-term success in fast-moving companies.
